The California Institute of Technology is seeking an experienced Associate Director of Gift Planning to join its Advancement and Alumni Relations team. This role will play a critical part in fostering a thriving and engaged community of support for the Institute.
Key Responsibilities- Administer all estate distributions to Caltech, ensuring timely and accurate processing.
- Review and coordinate with trustees, executors, attorneys, and financial advisors to facilitate estate distributions.
- Oversee completion of estate beneficiary forms and communicate with financial institutions as necessary.
- Work with the Office of General Counsel to review probate, trust administration, and related agreements.
- Coordinate with the Investment Office on acceptance of estate assets, including real and tangible personal property, closely held business interests, and limited partnerships.
- Respond to inquiries from campus partners regarding estate distributions.
- Coordinate day-to-day operations with TIAA Kaspick, including approving web forms and overseeing donor and staff online access.
- Prepare Trust Addition and Charitable Gift Annuity agreements, and coordinate with the Finance office for signatures.
- Administer trust terminations and track distribution process to ensure timely receipt of funds.
- Provide support to the board secretary of the Knudsen Foundation, maintaining records and assisting with annual distributions.
- Work in coordination with the Finance office to ensure proper and timely filings with the Department of Insurance.
- Bachelor's degree or equivalent.
- 5 or more years' experience in trust or estate administration, gift planning, investments, financial planning, or equivalent.
- Knowledge of trust and investment management, with ability to communicate market conditions and investment allocation decisions to donors and beneficiaries.
- Strong written and verbal communication skills, with ability to interact well with constituents and maintain strong relationships with the Institute.
- Quantitative and database skills, with comfort in interpreting legal documents and donor communication skills.
- Proficiency with MS Office, with strong Excel skills.
- Advanced degree or designation in a related field, such as MBA, CFP, CPA, CTFA, CSPG, or JD.
- Familiarity with estate and tax planning forms and concepts, investment concepts, charitable gifting vehicles, and tax and estate laws.
- Knowledge of Advance database software and familiarity with Caltech or higher education.
