Position Summary: The Human Resources Specialist executes professional responsibilities across various functional domains, including talent acquisition, compliance with regulations, employee benefits, and fostering employee relations. This role plays a vital part in achieving human resources objectives that cultivate a collaborative culture emphasizing empowerment and diversity.

Talent Acquisition

Oversee all phases of the recruitment process, which includes:

  • Collaborating with hiring managers to identify necessary skills and competencies for open positions.
  • Managing the complete recruitment cycle, ensuring job descriptions are current, visibility is appropriate, and supporting managers in selecting candidates.
  • Conducting initial screening interviews via phone.
  • Handling all communications with applicants and those not selected.
  • Coordinating interviews between candidates and hiring managers.
  • Performing reference checks.
  • Updating hiring status in the HR information system.

Onboarding Process

Manage all administrative aspects of onboarding new hires, including:

  • Issuing offer letters and managing pre-hire requirements.
  • Ensuring completion of background checks, references, and other necessary documentation.
  • Meeting with new employees on their first day to finalize paperwork.
  • Preparing and distributing orientation materials for new hires.
  • Entering new hire data into the HR information system and auditing for accuracy.
  • Coordinating with IT and management to ensure a smooth first-day experience.

Employee Records Management

Responsible for maintaining employee files, which includes:

  • Creating and managing personnel files in compliance with state and federal regulations.
  • Adhering to records retention guidelines.
  • Updating HRIS with status changes, new hire forms, and payroll modifications.
  • Monitoring compliance with training requirements.
  • Responding to employment verification and related inquiries.
  • Assisting employees and volunteers with routine inquiries.
  • Participating in meetings, training sessions, and workshops as necessary.

Additional Responsibilities

Required Skills and Competencies:

  • Outstanding verbal and written communication abilities, with a capacity to manage confidential information with discretion.
  • Proficient in MS Office and Adobe Acrobat.
  • Detail-oriented, organized, and proactive in problem-solving.
  • Adept at identifying issues, gathering data, establishing facts, and proposing solutions.
  • Ability to collaborate effectively with all levels of staff and external partners.
  • Experience with ADP is preferred.
  • Successful completion of a DOJ background check is required post-offer.

Education and Experience Requirements:

  • A minimum of 2 years of comprehensive recruiting experience.
  • A bachelor’s degree in a relevant field is preferred, or a combination of education and experience that meets job qualifications.
  • (S)PHR or SHRM – (S) CP certification is preferred.
