Job Summary/Basic Function

The Research Associate is tasked with the establishment, upkeep, and supervision of the prospect research initiative within the Development Office of University Advancement. This role is crucial in enhancing the university's fundraising strategies through detailed research and data management.

Required Qualifications
  • Three years of advanced clerical or para-professional experience or an equivalent combination of experience and training.
  • Proven experience with database management and proficiency in Microsoft Office.
  • Ability to:
    • Resolve issues effectively.
    • Manage multiple complex tasks with precision and professionalism in a dynamic environment.
    • Maintain confidentiality.
    • Work autonomously.
    • Familiarize oneself with academic and office policies.
  • Experience in drafting and editing comprehensive reports.
  • Exceptional customer service and communication skills, both oral and written.
  • Demonstrated commitment to equity, diversity, and inclusion.
  • Proficiency in Microsoft Office applications including Word, Excel, PowerPoint, and Outlook.
  • Valid driver's license.
  • Successful completion of a structured interview process.
  • Successful completion of three background checks.


Preferred Qualifications
  • Bachelor's degree.
  • Two to three years of experience in philanthropy within higher education fundraising or a non-profit context.
  • Two to three years of experience in prospect research or management.
  • Two to three years of familiarity with computer database systems (preferably Banner) and software tools (such as Hyperion, LexisNexis, Wealth Engine), particularly in a Windows environment.
  • Two to three years of experience with electronic database searches.


Job Description
  • Oversee the development, maintenance, and management of the prospect research program within the Development Office of University Advancement.
  • Create and manage prospect records, tracking the status of moves management and proposals while maintaining organized files and documentation.
  • Conduct thorough research and develop profiles on potential prospects and existing donors, including individuals and organizations, to support effective prospecting and donor engagement strategies.
  • Generate and distribute reports detailing donor interactions and the status of prospects and proposals.
  • Review and process information from reports submitted by development officers.
  • Collect and verify essential constituent information using various sources and update database records accordingly.
  • Develop and refine policies and procedures related to prospect research functions.
  • Maintain validation tables associated with prospect management and research within the Advancement database.
  • Support special campaigns or other initiatives as directed by the Director of Advancement Information Services and/or Vice President for University Advancement.
  • Ensure the accuracy and integrity of corporate and foundation records within the University Advancement database.
  • Research and update records for corporate and foundation constituents, verifying information critical to University Advancement objectives.
  • Collaborate with University Advancement staff to establish and maintain specialized groups of organizations.
  • Assist in training and supervising student workers and graduate assistants in database maintenance and prospect management.
  • Participate in Campaign and University Advancement meetings and professional conferences to stay updated on relevant topics.
  • Contribute to the Advancement Information Services team by providing information and reviewing data entry and integrity procedures.
  • Serve as a backup for the Data Quality Reporting Specialist and Fiscal Technician as needed, understanding the relevant policies and procedures.
  • Perform other duties as assigned.

  • Ability to lift/pull/push up to 10 pounds.
  • Dexterity required for operating a computer keyboard and mouse.
