Department Overview:

The Office of Legal Affairs is responsible for overseeing the General Counsel, Grants Management, Procurement and Third-Party Risk, and Contracting and Management Services. This office provides legal guidance, counsel, and representation for PHS, its leadership, Board, and staff. Legal matters arise in the context of PHS's operations, administration, programs, and services. We collaborate with all departments to ensure compliance with federal, state, and local laws and contractual obligations, adopting a proactive and partnership-oriented approach.

Position Summary:

We are seeking a qualified Legal Administrative Assistant to deliver comprehensive administrative support to our dynamic Legal department, closely collaborating with the Managing Directors of Contract Administration and Procurement and Third-Party Risk.

Key Responsibilities:

  • Perform administrative tasks including document management, filing, processing purchase requisitions, managing invoices, scheduling meetings, taking minutes, coordinating catering, and maintaining calendars.
  • Assist the Legal Operations Manager in overseeing the PHS Board and its Committees.
  • Handle legal documentation and correspondence with the utmost confidentiality.
  • Support the Managing Directors in Contract Administration and Procurement and Third-Party Risk.
  • Organize, analyze, and compile relevant information.
  • Conduct data entry into appropriate PHS systems.
  • Undertake additional duties as required.

Qualifications:

  • Associate's degree or equivalent required; Bachelor's degree preferred.
  • 3-5 years of relevant experience in an administrative support role.
  • Salary: $64,400.

Desired Skills:

  • Proficient in technology and data management, including calendar management software, AdobeSign, and the MS Office Suite.
  • Willingness to learn and utilize contract management and procurement software.
  • Ability to interpret and assimilate instructions and information effectively.
  • Strong communication skills, both written and verbal, with excellent interpersonal abilities.
  • Detail-oriented, organized, efficient, and resourceful, with strong follow-through capabilities.
