Job Summary

The Practice Coordinator plays a vital role in the efficient operation of the medical practice, providing support to the medical team and direction to the clerical and clinical staff. This position is responsible for maintaining the smooth workflow of the front and back office, including staff scheduling, filing systems, and end-of-month reports.

Key Responsibilities
  • Operational Support: Assist in the implementation of the business plan for the office, working closely with the Practice Administrator and Regional Manager.
  • Staff Support: Provide support to providers, clinical, and clerical staff, ensuring the successful operation of the practice.
  • Scheduling and Coordination: Arrange meetings and schedule appointments for physicians, maintaining expertise in the GE Practice Management system - Master Scheduling.
  • Communication and Correspondence: Screen telephone calls and visitors, sort incoming and interdepartmental mail, and distribute correspondence to designated individuals in a timely manner.
  • Quality Improvement: Participate in maintaining and improving quality improvement initiatives, including Physician Billing computer system, patient satisfaction surveys, staff evaluations, and other QI problems.
  • Team Collaboration: Actively participate in team approach to functions within the department, attending departmental meetings, and contributing to problem-solving and process improvement.
  • Financial Management: Work with the Practice Administrator, physicians, and Regional Manager to prepare, monitor, and attain financial budgets.
  • Compliance and Regulatory: Maintain a high level of competence on the Physician Billing computer system, overseeing all aspects of billing and financial management in the medical practice, and reporting any issues or process improvements to the Practice Administrator.
Requirements
  • Education: High School graduate or equivalent.
  • Experience: One to three years of similar experience, with knowledge of medical office procedures and management, medical terminology, medications, computer systems, and medical practice billing.
  • Skills: Ability to prioritize tasks, organize workload, be flexible, and adapt to changing situations, with excellent organizational skills and productivity.
