Position Overview:
This role is essential for ensuring the integrity and compliance of pilot records within the aviation sector. The primary responsibilities include:

  • Managing and maintaining comprehensive pilot records
  • Ensuring adherence to current Federal Aviation Regulations
  • Formulating pilot recordkeeping policies in line with federal standards
  • Conducting data entries for check rides, training sessions, and onboarding of new pilots
  • Updating and modifying the pilot database to align with training requirements
  • Tracking and notifying pilots regarding medical certificate renewals
  • Compiling new hire documentation for pilots and verifying the accuracy of all submitted paperwork, taking corrective actions as necessary
  • Generating database reports for the Regional Aviation Manager (RAD), Regional Aviation Manager (RAM), and Area Manager
  • Executing monthly audits of 25% of pilot records and eliminating outdated information
  • Maintaining Daily Flight Log/Load Manifest sheets (DFL's) and returning those with discrepancies for corrections
  • Monitoring and filing pilots' monthly work schedules
  • Performing additional tasks as assigned

Regular attendance is a fundamental aspect of this position, and all employees must adhere to the company's employment practices and policies.

Supervisory Responsibilities:
This position does not include supervisory duties.

Skills:
  • Proficiency with office equipment such as fax machines, copiers, and scanners
  • Strong proofreading, spelling, grammar, and telephone communication skills
  • Familiarity with Federal Aviation Regulations (FARs) is preferred
  • Exceptional organizational skills with a keen attention to detail, capable of prioritizing tasks and meeting deadlines
  • Ability to handle confidential information with discretion
  • A collaborative team player with a professional demeanor when interacting with both internal and external stakeholders
  • Capability to work independently with minimal supervision
Computer Skills:
  • Proficient in Microsoft Office Suite, including Word, Access, Excel, and Outlook
