Job Overview

The Registrar for Secondary Education is entrusted with the essential responsibility of overseeing the technical and administrative recordkeeping functions associated with the permanent academic records at KIPP Columbus High School. This position operates under the supervision of the High School Leader.

Key Responsibilities

The primary duties encompass, but are not limited to:

  • Executing various technical and intricate clerical record-keeping tasks pertaining to the permanent records of high school students, adhering to established policies and procedures while ensuring compliance with educational regulations.
  • Preparing and maintaining permanent records, cumulative and special education files, as well as demographic information for both past and incoming students; initiating necessary communications with previous educational institutions regarding student record histories.
  • Collecting, maintaining, and preparing critical student data related to academic instruction, including transcripts, report cards, student grades, and progress towards graduation.
  • Collaborating with the Manager of College and Career Counseling, School Leader, and Operations Leader to facilitate the annual master scheduling process, ensuring students are enrolled in suitable courses that align with graduation requirements and institutional policies.
  • Conducting ongoing audits of transcripts and scheduling students appropriately in coursework to ensure they remain on track for graduation.
  • Interpreting and analyzing incoming national and international student transcripts, transcribing them to meet state and KIPP Columbus standards; entering student grades into the system to create a comprehensive course history file and transcript; notifying the High School leadership team of any credit deficiencies or unusual placement scenarios.
  • Communicating with students, parents, administrators, teachers, and staff to ensure that student records are accurate and up-to-date; addressing graduation deficiencies and eligibility with relevant stakeholders.
  • Retrieving files and printing transcripts; processing and forwarding transcripts and records to colleges and other institutions in accordance with established guidelines; verifying student information for various inquiries.
  • Supporting the high school student enrollment and withdrawal processes, as well as participating in recruitment events throughout the academic year.
  • Performing additional duties as assigned.
Qualifications
  • Bachelor's Degree required.
  • A minimum of one year of experience in a school registrar role, focusing on student record-keeping and performance tracking.
  • Preferred knowledge of transcript evaluation and student enrollment procedures.
  • Familiarity with state and school graduation requirements is highly desirable.
  • Understanding of state regulations regarding the maintenance and confidentiality of permanent student records.
  • A belief in the potential of outstanding school leaders, staff, and educators to achieve exceptional outcomes for all students.
  • Demonstrated problem-solving skills, optimism, and a commitment to continuous learning within a collaborative professional environment.
  • A willingness to exceed expectations in supporting student success.
  • Ability to manage multiple tasks and navigate a dynamic, fast-paced environment while seeking clarity and solutions.
  • Exceptional written and verbal communication skills.
