Program Assistant

This position plays a vital role in supporting the department and staff by providing assistance and ensuring the smooth operation of daily tasks. The ideal candidate will possess excellent communication skills, be able to work independently, and have a strong commitment to providing exceptional customer service.
Key Responsibilities
• Monitor and maintain the coffee/tea areas to ensure a welcoming environment for consumers and staff.
• Complete Pre-Screening Forms as needed and refer consumers to the appropriate case manager when required.
• Monitor lunch attendance for the Title VI Program and assist consumers in finding relevant resources when needed.
• Maintain accurate records of grant-required paperwork and follow up on any necessary actions.
• Submit daily consumer sign-in sheets to the department's data specialist at the end of each workday.
• Acknowledge donations with the appropriate FNA Receipt of Donation form and maintain organized office areas.
• Conduct weekly inventory of socks, gloves, hygiene products, and other personal supplies, and inform the Administrative Assistant of program needs.
• Facilitate logistics related to picking up or delivering extra donations to or from other intra-organizational departments.
• Respond to inquiries and phone calls in a timely manner and attend daily Community Service Staff meetings.
• Perform other job-related duties as assigned by the supervisor.
Requirements
• Ability to report to work in a timely manner and maintain a commitment to excellent customer service.
• Understanding and sensitivity to diverse cultures and lifestyles, as well as cross-cultural communication styles.
• Skill in managing multiple priorities and tasks concurrently and meeting deadlines.
• Ability to work independently as well as with teams and establish cooperative working relationships with colleagues, supervisors, and consumers.
• High school diploma or equivalent and current CPR/First Aid certification or ability to obtain within 30 days of hire.
• Preferred qualifications include experience working with diverse groups of people, including Elders and the homeless, and knowledge of thrift store environments.
Working Environment
The physical demands of this position require routine walking, standing, bending, and carrying of items, as well as assisting a wide variety of people with differing functions, personalities, and abilities. The office is a non-smoking facility with outside smoking areas. The position may involve local travel between various program components of FNA and the community, involving exposure to extreme weather conditions, and may require working with chemical cleaners and solvents. Personal Protective Equipment will be provided where/when needed. The position works in an environment where protection of consumer confidentiality is essential.
