Position Summary:
We are seeking a detail-oriented Office Coordinator to enhance our operational efficiency. This role is pivotal in maintaining a welcoming atmosphere for clients and visitors while ensuring smooth office operations.
Key Responsibilities:
- Greet and assist clients and visitors, both in person and via phone.
- Manage incoming calls and direct them to the appropriate personnel.
- Act as the central point of contact for office inquiries and requests.
- Streamline office workflows and procedures to boost productivity.
- Conduct regular inspections of shared office areas and equipment to uphold safety standards.
- Coordinate onboarding logistics and manage building access for staff and visitors.
- Oversee inventory and procurement of office supplies, ensuring availability and organization.
- Monitor office equipment and report any maintenance needs.
- Handle incoming and outgoing mail and packages efficiently.
- Provide administrative support to various departments, including document management and logistics.
- Assist with errands as needed, such as supply runs and mail deliveries.
- Support the planning and execution of meetings and events, including catering and room arrangements.
- Disseminate information regarding office events and updates.
- Perform additional tasks as assigned by management.
Qualifications:
Essential Requirements:
- High School Diploma or equivalent.
- A minimum of 5 years in an administrative support role.
- Proficient in Microsoft Office Suite and adaptable to new software.
- Exceptional organizational and time management abilities.
- Strong verbal and written communication skills.
- Ability to handle sensitive information with discretion.
- Familiarity with office technology and equipment.
- Reliable transportation for occasional errands.
- Capability to thrive in a dynamic office environment.
- Physical ability to lift up to 20 pounds and remain seated or active for extended periods.
Preferred Qualifications:
- Possession of a PA notary license.
- Experience in developing and refining internal processes.
