Job Summary

The University of Washington is seeking a highly organized and detail-oriented Program Operations Specialist to join the Academic Programs & Student Services (APSS) team. This role will provide critical support to the department's curriculum and operations, ensuring seamless execution of academic programs and student services.

Key Responsibilities
  • Manage curriculum operations, including course scheduling, time schedule construction, and quarterly course-related functions.
  • Provide administrative support to courses, including responding to instructor, TA, student, and staff inquiries and requests.
  • Coordinate and administer departmental student travel fellowships and student travel abroad.
  • Manage travel reimbursements and/or stipend payments for student travel fellowships, conference funds, etc.
  • Organize and submit office supply orders for APSS staff.
  • Update DGH web pages, faculty/staff intranet, and online student intranet as needed.
  • Identify and provide administrative solutions to address key operational infrastructure needs.
Requirements
  • Bachelor's Degree and two years of administrative work experience.
  • Experience with data gathering and analysis.
  • Self-motivated, resourceful, strong organizational skills.
  • Ability to multi-task, prioritize, and coordinate projects independently and collaboratively in cross-functional teams.
  • Demonstrated ability to facilitate communication between professionals with a variety of backgrounds in a respectful and diplomatic manner.
Preferred Qualifications
  • Experience working in academic services and systems.
  • Working knowledge of UW systems for curriculum (Time Schedule Construction, Time Schedule Update).
  • Familiarity with other campus units with which this position interacts.
Working Conditions

This is a deadline-driven environment, occasionally requiring extended hours.
