Job Summary

We are seeking an experienced Administrative Associate IV to provide advanced secretarial and administrative support to the Departments of Engineering and Computer Science, as well as Mechanical, Environmental, and Civil Engineering within the Mayfield College of Engineering.

Salary and Benefits

The estimated annual salary for this position is $37,300, based on the proposed minimum hourly rate of $18.03 and assuming a full-time schedule with standard work hours of Monday through Friday, 8 AM to 5 PM.

Responsibilities

This role involves providing advanced administrative support for office functions, managing complex schedules, coordinating meetings and events, maintaining files and records, and communicating office policies and procedures.

You will be responsible for:

  • Delivering advanced administrative support for office functions
  • Developing and implementing complex or specialized office procedures
  • Reviewing and processing various documents, including forms, reports, and tables
  • Maintaining office reference materials, including digital resources
  • Managing office schedules, appointments, and meeting logistics
  • Organizing meetings, seminars, and events, including arrangements for facilities, equipment, and catering
  • Assisting in planning and executing special events
  • Coordinating the maintenance of files, records, supplies, and office equipment
  • Communicating, interpreting, and enforcing office policies and procedures
  • Monitoring compliance with established policies and procedures as needed
Requirements

To be successful in this role, you will need:

  • A high school diploma or equivalent combination of education and experience
  • Four years of related experience
  • Knowledge of word processing, spreadsheet, and database applications
  • Effective verbal and written communication skills
  • Strong interpersonal and organizational skills
  • Ability to multitask and work cooperatively with others
  • Ability to work with sensitive information and maintain confidentiality
