The Clinical Procedure Coordinator plays a vital role in orchestrating and overseeing the scheduling of medical and high-stakes procedures within the healthcare practice. This position is essential for ensuring the effective scheduling and rescheduling of complex procedures, such as surgeries, endoscopies, and electrophysiology (EP) services. The ideal candidate will possess a combination of medical office experience, expertise in MS Outlook and Excel, and outstanding communication abilities to manage the dynamic requirements of this role.
Key Responsibilities:
- Appointment Management: Organize and coordinate appointments for diagnostic tests, referrals, surgical interventions, hospital procedures, and admissions. Guarantee timely processing and precise scheduling of high-level procedures and surgeries.
- Authorization Oversight: Secure necessary authorizations for procedures and hospital admissions, collaborating with the Financial Clearance Department to assist patients with prior authorizations, self-pay arrangements, and payment options.
- Physician Schedule Oversight: Maintain and oversee physician schedules, including meetings, educational sessions, and inpatient rounds.
- Financial Reconciliation: Reconcile financial reports and manage daily office deposits.
- Auditing and Reporting: Conduct audits and assist in tracking and reporting relevant information as required.
- Procedure Scheduling: Oversee and schedule pre-operative evaluations and post-operative follow-ups. Manage the approval process for self-pay patients requiring surgery and procedures.
- Regulatory Compliance: Ensure compliance with all responsibilities related to the position.
- Additional Responsibilities: Perform other tasks as assigned by the Practice Administrator.
Required Skills and Qualifications:
- Experience: At least 3 years of experience in a medical office setting, with a strong preference for experience in medical procedure scheduling.
- Technical Proficiency: Proficient in MS Outlook, Excel, and data entry.
- Communication Skills: Exceptional verbal and written communication skills.
- Education: High School Diploma or equivalent.
Work Schedule:
- Monday-Friday 8-4:30
- Contract duration of 3+ months

This role is crucial in managing the scheduling and rescheduling of complex clinical procedures, encompassing approximately 4,000 surgeries, 2,000 endoscopy cases, and 300 EP services annually. Accurate scheduling is essential, as errors in scheduling or rescheduling can lead to significant financial repercussions for the organization.
