About the Role

We are seeking a highly organized and detail-oriented Project Coordinator to join our team at McCarthy Building Companies, Inc. As a key member of our project management team, you will be responsible for providing administrative support to ensure the smooth operation of our projects.

Key Responsibilities
  • Certified Payroll:
    • Review and assess certified payroll reports and labor compliance documents to ensure accuracy and compliance with regulations.
    • Communicate with contractors to resolve discrepancies and ensure timely resolution.
  • General Administration:
    • Provide exceptional customer service by answering phone calls, responding to emails, and directing messages to the project team.
    • Manage and maintain project files, including the project directory, master file index, and subcontractor index.
    • Order and maintain office supplies and equipment, ensuring a well-stocked and efficient workspace.
    • Assist with project closeout responsibilities, including archiving files and ensuring a smooth transition.
  • Accounting Administration:
    • Support project staff with accounting and cost reporting, ensuring accuracy and compliance with company policies.
    • Process vendor accounts, payroll, and billing, ensuring timely and accurate payments.
    • Assist with maintaining the project management database, ensuring up-to-date and accurate information.
  • Reporting:
    • Produce manpower summary reports, progress reports, and other critical documents to ensure project stakeholders are informed.
    • Track and maintain subcontractor and supplier records, ensuring compliance with company policies and regulations.
Requirements
  • 3+ years of experience in a related field, preferably in the construction industry.
  • Excellent computer skills, with proficiency in MS Office products and typing speed of 50+WPM.
  • Ability to work in a fast-paced office environment, with a focus on accuracy, attention to detail, and meeting critical deadlines.
  • Strong communication and interpersonal skills, with the ability to work effectively with all levels of project staff and organization.
