Role Overview

As an Executive Support Specialist at Impact Solutions MI, you will be instrumental in maintaining the seamless flow of office activities while delivering exceptional customer service. Your responsibilities will include greeting guests and clients with confidence and professionalism, managing incoming calls and emails, supporting sales representatives, coordinating mail distribution, and upholding confidentiality while managing sensitive information.

Responsibilities
  • Greet guests and clients with confidence and professionalism.
  • Manage incoming calls and emails, ensuring prompt and clear communication.
  • Support sales representatives by organizing documents and handling administrative tasks.
  • Coordinate mail distribution and maintain office supplies and inventory.
  • Organize and maintain intricate filing systems with precision.
  • Create and manage expense reports and assist with financial tracking.
  • Adapt quickly to new computer systems and leverage Microsoft Office applications like Excel, Word, Teams, and OneDrive.
Requirements
  • High school diploma or equivalent; some college coursework is preferred.
  • 12 years of office experience with strong adherence to office etiquette.
  • Prior experience as an Administrative Assistant, Associate, or Secretary is a plus.
  • Proficiency in Microsoft Office Suite (Outlook, Excel, Word, etc.).
  • Exceptional written and verbal communication skills with professional phone etiquette.
  • Ability to multitask, stay organized, and pay attention to detail.
