Responsibilities:
  • Invoice Processing: Process vendor invoices electronically, ensuring accuracy and timely entry into the accounting system. Handle high volumes of invoices efficiently.
  • Account Maintenance: Maintain vendor and customer accounts, ensuring all records are up-to-date and discrepancies are addressed promptly.
  • Payment Preparation: Prepare and issue payments to vendors, including checks, ACH, and wire transfers. Ensure all payments are processed in a timely manner.
  • Reconciliation: Reconcile invoices with purchase orders and receiving reports to ensure accuracy and completeness. Address and resolve any discrepancies.
  • Vendor Communication: Reconcile vendor statements, research and resolve any discrepancies by communicating with vendors via phone and email. Maintain positive vendor relationships.
  • Financial Reporting: Assist in month-end closing processes, including the preparation of accounts payable reports and supporting documentation.
Qualifications:
  • Previous experience processing invoices in a high-volume capacity.
  • Excellent written and verbal communication skills.
  • Proficient in Excel and experienced with accounting ERP systems.
  • Strong organizational skills and attention to detail.
  • Problem-solving skills and the ability to handle vendor discrepancies effectively.
  • Knowledge of basic accounting principles and accounts payable procedures.
