AR/AP Administrative Assistant

CertaPro Painters of Cedar Rapids IA is seeking a detail-oriented AR/AP Administrative Assistant to join our finance team.
Job Summary:The AR/AP Administrative Assistant will support the finance team by managing day-to-day accounts receivable (AR) and accounts payable (AP) tasks. This role is essential in ensuring timely payments, accurate invoicing, and maintaining strong vendor and customer relationships.
Key Responsibilities:- Process and verify invoices, purchase orders, and expense reports for accuracy and completeness.
- Reconcile vendor statements and resolve discrepancies.
- Prepare and send customer invoices, ensuring timely collection of payments.
- Record and monitor incoming payments, posting receipts to appropriate accounts.
- Assist in month-end and year-end financial closings.
- Maintain organized and up-to-date financial records and documentation.
- Collaborate with vendors and customers to resolve billing and payment inquiries.
- Prepare regular reports on account balances, outstanding payments, and payable/receivable aging.
- Assist with other administrative tasks and projects as needed by the finance department.
- High school diploma or GED required; Associates or Bachelors degree in Accounting, Finance, or related field preferred.
- 1-2 years of experience in accounts payable, accounts receivable, or related accounting roles.
- Proficiency with accounting software (e.g., QuickBooks, Sage, or similar) and Microsoft Office, particularly Excel.
- Strong organizational skills and attention to detail.
- Ability to handle confidential information with integrity and professionalism.
- Strong communication and interpersonal skills, with a focus on customer service.
- Ability to work independently as well as in a team environment.
