Job Summary

Girl Scouts Heart of Central California is seeking an experienced and detail-oriented individual to fill the role of Older Girl Program Administrative Coordinator. This position will be responsible for overseeing the submission, approval, and recognition process for Highest Awards projects, as well as supporting girls and their families in earning these prestigious awards.

Key Responsibilities
  • Manage the highest award program databases, including organizing, reviewing, and approving proposals and final report submissions, following Girl Scout USA and Girl Scouts Heart of Central California guidelines and rubrics.
  • Provide resources, share information, respond to inquiries, and answer questions for girl members in grades 4-12 and their families through the Highest Award process.
  • Generate reports, rosters, participant information letters, and mailing lists as needed.
  • Assist in planning and implementing the annual Highest Award Ceremony, including coordinating logistics, securing congressional letters of recognition for awardees, and clearly communicating with the awardees and their guests about the event.
  • Ensure the delivery of high-quality customer service and timely communication to staff, volunteers, community partners, members, and caregivers via phone, email, and in-person interactions.
  • Coordinate volunteers supporting the highest awards and older girl programs.
  • Enter data into relevant systems, CRM databases, spreadsheets, and other organizational systems, updating and improving administrative procedures for efficiency when possible.
  • Review, organize, and coordinate requests for older girl programs and training, such as color guard, girl committees, and program aides.
  • Assist with coordinating the resource rental program, including inventory tracking, process improvement, and customer assistance during pick-up and drop-off.
  • Provide additional support to the Girl Experience team as needed, including record keeping, data entry, customer service, and calendar and email management.

Requirements
  • At least two years of experience in administrative support or similar work or an associate's degree.
  • Excellent organizational and time management skills.
  • Possess a high attention to detail and ability to follow procedures.
  • Strong written and verbal communication skills, with the ability to clearly share ideas and collaborate effectively with diverse stakeholders.
  • Capacity to effectively handle numerous tasks, prioritize them, and meet deadlines concurrently.
  • Ability to work independently with minimal oversight, take initiative, self-manage, and thrive in a fast-paced environment.
  • Technical fluency in Microsoft Office, including Word, Excel, and Outlook.
  • Experience in Customer Relationship Management systems, Salesforce preferred.
  • Ability to achieve technical fluency in all customer platforms including, but not limited to, Salesforce, MyGS, Looker, event/camp registration tools, and gsEvents.
  • Bilingual skills highly desired (especially in English and Spanish, Russian, Vietnamese, Hmong, etc.).
  • Demonstrate a knowledge of or willingness to learn the mission, goals, and values, of Girl Scouts.
  • Valid California driver's license, a clean driving record, and proof of insurance.

Physical Requirements
  • Ability to withstand prolonged periods of sitting at a desk and working on a computer.
  • Able to lift and carry 25 pounds.

Work Hour/Travel
  • Willingness to work a flexible schedule and travel as required.
  • Willingness to work occasional evenings and weekends.
