Job Overview
The Texas Health and Human Services Commission (HHSC) is seeking a highly skilled Administrative Assistant III to join their team in the Access and Eligibility (AES), Foster Grandparent Program (FGP). This dynamic individual will play a vital role in assisting with the daily operations of the FGP service area, ensuring seamless program execution and exceptional volunteer experiences.
About the Role
This Administrative Assistant III position reports directly to the FGP Supervisor and works under the guidance of the FGP Volunteer Services Coordinator. Key responsibilities include:
- Data Management: Responsible for collecting, tracking, and entering volunteer time and mileage into program spreadsheets, as well as processing bi-monthly time sheets for volunteers.
- Program Administration: Maintains accurate data tracking lists, including enrollment forms and annual renewal forms for active volunteers.
- Filing and Record Keeping: Ensures proper filing and record keeping of Foster Grandparent volunteer files and Volunteer Station files in accordance with AmeriCorps guidelines.
- Intake Process and Training: Assists with the intake process, training new volunteers, and reviewing program handbooks.
- Event Coordination: Supports coordination of monthly volunteer in-service meetings, FGP events, and activities, as well as special projects assigned by AmeriCorps.
- Recruitment Efforts: Assists with Foster Grandparent volunteer recruitment efforts, including scheduling speaking engagements, printing applications, and ordering promotional items.
- General Office Duties: Performs general office tasks such as ordering supplies, answering phone calls, and serving as a point of contact in the absence of the Volunteer Services Coordinator.
Requirements
To be successful in this role, you will need:
- Knowledge of Office Practices: Strong understanding of office practices and procedures.
- Computer Skills: Proficiency in operating computers and software applications, including Microsoft Office.
- Communication Skills: Excellent verbal and written communication skills, with the ability to work collaboratively with diverse groups.
- Analytical Skills: Ability to review work for accuracy and make arithmetical computations.
- Interpersonal Skills: Friendly and courteous communication style.
What We Offer
We offer a competitive salary of approximately $40,000 - $60,000 per annum, commensurate with experience, plus excellent benefits and opportunities for growth and development.
