Position Summary
The Office Assistant will play a crucial role in ensuring smooth administrative operations. Responsibilities include managing multi-line phone systems, handling messaging, invoicing, and various other tasks as assigned.
Key Responsibilities
- Prepare and distribute correspondence, files, and letters related to projects.
- Assist in the preparation, editing, copying, binding, and distribution of project reports under the guidance of departmental staff.
- Organize extensive information into clear and meaningful formats in a timely manner.
- Collect and expedite information from different stakeholders.
- Support general administrative functions such as faxing, copying, filing, organizing, mailing, and document creation.
- Help maintain the filing system and standard documents using Microsoft Office and other relevant software.
- Coordinate and schedule events such as meetings and training sessions.
- Prioritize tasks with minimal supervision in a fast-paced environment.
- Perform additional duties as assigned by the supervisor.
Qualifications
Candidates should possess a minimum of 3 years of experience in a professional office setting, demonstrating effective interaction with both internal and external clients. Proficiency in computer applications, including Windows, Excel, Word, PowerPoint, and Microsoft Outlook, is essential. Experience in the construction or flooring sector is advantageous.
