The Medical Records Operations Supervisor is tasked with overseeing the daily coordination of the Release of Information (ROI) Specialists at designated client locations. This role serves as the intermediary between MRO and Client Management teams to guarantee that all ROI processes adhere to established client protocols, as well as federal and state regulations, while ensuring timely completion of tasks.

This position requires on-site presence.

KEY RESPONSIBILITIES:

  1. Oversees the workflow among on-site personnel to ensure optimal productivity and adherence to quality standards. Adjusts work assignments as necessary to accommodate peak times, absences, and vacancies. Prioritizes tasks to ensure the effective execution of ROI functions.
  2. Modifies work assignments as required to manage peak periods, absences, and vacancies at the assigned healthcare facilities.
  3. Provides support during backlogs, illness, vacation, or leave of absence of medical record personnel.
  4. Conducts Quality Assurance assessments of the performance of ROI Specialists.
  5. Performs evaluations of productivity and work performance for ROI Specialists in line with MRO/client policies and applicable Federal/State laws.
  6. Monitors performance metrics and delivers constructive feedback and evaluations for ROI Specialists. Oversees and approves time-off requests and schedules for all team members.
  7. Fosters a positive image of MRO, emphasizing customer service by treating patients, colleagues, and healthcare personnel with respect and courtesy. Addresses customer inquiries in a prompt and efficient manner.
  8. Provides assistance to the Area Manager as required.
QUALIFICATIONS:

Essential Requirements:
  • High School Diploma or GED is mandatory.
  • A Bachelor's or Associate's Degree in Health Information Management, Business Administration, or a related health field, or equivalent experience is preferred.
  • A minimum of 1 year of supervisory or management experience in an acute care environment.
  • Familiarity with HIPAA privacy standards is essential.
  • Exemplary written communication and interpersonal skills are required.
  • Proficiency in Microsoft Office applications is necessary.
  • Experience in Release of Information processes is required.
Physical Demands:
  • This position involves standing, sitting, and lifting up to 20 pounds.
  • The role is performed in both office and healthcare settings.
