Position Title: Financial Aid and Tuition Management Specialist
The Financial Aid and Tuition Management Specialist is a full-time role reporting directly to the Chief Financial Officer (CFO).
Position Overview
This position is responsible for overseeing all facets of tuition and financial aid administration, while also providing support for various accounting and administrative functions within the school.
Key Responsibilities
- Tuition Management
- Manage all processes related to the collection of tuition and registration fees, including payment arrangements, monitoring overdue payments, updating and posting tuition payments, and communicating with families throughout the process.
- Collaborate with external parties for special circumstances, such as student withdrawals and outside scholarships.
- Work with the tuition management software provider to ensure smooth operations.
- Financial Aid Oversight
- Administer all aspects of financial aid, including reviewing applications, notifying families of award decisions, updating tuition accounts, and reclassifying tuition bad debt as financial aid.
- Engage with the CFO and President regarding unique financial aid cases as necessary.
- Coordinate with the financial aid software vendor to streamline processes.
- Accounting and Administrative Duties
- Perform reconciliations for all tuition and financial aid accounts within the bookkeeping system.
- Post entries for select non-tuition accounts.
- Handle cash and check deposits to the school’s operating account.
- Travel as needed to deposit cash receipts at the bank and maintain the cash receipts journal.
- Compile stipends for payroll processing.
- Administer ACH payments for the Jesuit residence.
- Maintain vehicle registrations and insurance documentation for school-owned vehicles.
- Oversee the implementation of various student fees through the management software.
- A strong commitment to the Catholic and Jesuit mission.
- A Bachelor’s Degree, preferably in Accounting or a related business field.
- Experience in customer service or sales roles is highly desirable.
- Familiarity with SaaS technology and ERP software is preferred, though not mandatory.
- Demonstrated integrity and a commitment to excellence.
- Ability to take initiative and ownership of responsibilities.
- A collaborative and team-oriented mindset.
- Strong attention to detail.
