Position Overview

The Director of Accounting is responsible for overseeing and executing the daily functions, strategic planning, and management of the Business Affairs Office, which encompasses Accounts Payable, General Ledger, Cash Receipting, Payroll, and Capital Assets Management.


Compensation Structure:
Salary placement on Schedule C2 ranges from $76,089 to $117,986, commensurate with experience.

This role is funded through a grant, and ongoing employment is dependent on the continuation of this funding. Non-probationary status is not achievable in this position due to the finite nature of the funding.
Key Responsibilities
  • Oversee the accounting and financial operations of the Business Affairs Office, including Accounts Payable, General Ledger, Cashiering/Accounts Receivable, Payroll, and Capital Assets.
  • Act as the primary contact for all Business Office operations.
  • Support the Executive Director with investment assessments and cash flow forecasts.
  • Facilitate banking services for the institution, including stop payments, account transfers, and credit card authorizations.
  • Collect and verify payroll direct deposit authorizations and manage the upload of direct deposit files for monthly payroll.
  • Assist in reconciling financial aid grants and contracts with the general ledger and Student Financial Services.
  • Monitor daily cash receipts and expenditure disbursements.
  • Coordinate with the Executive Director of Fiscal Services to authorize Grants and Contracts prior to initiating a General Ledger Budget.
  • Prepare required reports for Post-Secondary, State Department of Education, and other local and state agencies, along with annual financial statements and budgets.
  • Assist with reconciliations of federal funds between GAPS System and the general ledger.
  • Generate managerial reports for the Executive Director of Fiscal Services and the President.
  • Provide backup support for processing Accounts Payable, Payroll, and Student Receivables.
  • Ensure compliance by monitoring vendor disclosure statements, W-9 forms, and E-verify documents.
  • Review 1098-T files and 1099 Miscellaneous reports for submission.
  • Collaborate with External Auditors.
  • Assist in the monitoring and preparation of the college's operational budgets.
  • Support the preparation of the college's financial statements.
  • Assist with bond accounting and ongoing disclosure reporting for all debt instruments.
  • Oversee lease assets and assist with lease accounting.
  • Coordinate the monitoring and authorization of employee leave.
  • Prepare and submit reports required by the president and other regulatory agencies.
  • Review and manage approval queues for budget access.
  • Assist with accounting for investment accounts and cash flow projections.
  • Implement processes to ensure compliance with relevant bid laws.
  • Monitor and evaluate federal grant expenditures and adherence to project objectives.
  • Participate in the college-wide planning process and institutional effectiveness initiatives.
  • Support accreditation and certification processes.
  • Contribute to the development, publication, and enforcement of college policies.
  • Authorize expenditures and oversee monthly budget monitoring.
  • Conduct periodic reviews of internal control functions within Business Services.
  • Manage cellular telephone assignments and monitor for misuse.
  • Research and submit unclaimed property items to the state treasury.
  • Supervise staff, conduct performance evaluations, and manage leave approvals.
  • Engage in college committees.

Additional duties may be assigned by the Executive Director of Fiscal Services. The Director of Accounting is expected to maintain a flexible schedule, which may include day, evening, night, and weekend hours.

Qualifications
  • Bachelor's Degree in Accounting or a related field; Master's Degree preferred.
  • A minimum of five (5) years of experience in accounting or a related field.
  • Experience in an educational institution is preferred.
  • Proficiency in computerized accounting software, Microsoft Office, and related programs.
  • Familiarity with Ellucian Banner is preferred.
Required Skills and Attributes
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office.
  • Able to thrive in a fast-paced environment and manage multiple tasks effectively.
  • Strong organizational, coordination, supervisory, leadership, and evaluation skills.
  • Ability to adapt to change and work collaboratively as a key member of administrative and executive committees.
Physical Requirements

Work in a general office environment with the ability to stand or sit for extended periods; ability to travel independently between multiple campuses; capability to lift, move, or transport items up to 50 lbs; ability to climb ladders, bend, stoop, and kneel as necessary.
