Job Summary

We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team at Thermo Fisher Scientific. The successful candidate will provide administrative support to the functional leaders of Operations and Quality/Regulatory Affairs, ensuring seamless day-to-day operations and contributing to the company's success.

Key Responsibilities
  • Provide administrative support to senior leaders, including calendar management, travel arrangements, and expense reports.
  • Manage office supplies, inventory, and ordering as needed.
  • Prepare reports and notes from meetings, distribute to relevant parties, and follow up as necessary.
  • Design and proof PowerPoint presentations and other visual aids.
  • Organize and coordinate events, meetings, and conferences.
  • Reconcile expenses, invoices, and bills.
  • Train staff on the use of Concur (Expense Management System).
  • Assist in onboarding new hires and provide receptionist and executive assistant support as needed.
Requirements
  • High school diploma or equivalent required; associate's degree or higher preferred.
  • Two years of administrative experience, preferably in a similar role.
  • Strong computer and internet research skills, with experience in Excel, Word, MS Project, and PowerPoint.
  • Highly organized and flexible, with ability to prioritize tasks and work independently.
  • Excellent communication and interpersonal skills, with ability to work well with all levels of internal management and staff.
