Position Title: Service Quote Administrator
Key Responsibilities:
- Deliver precise and timely administrative assistance to the Service Coordinator and/or Service Manager.
- Acquire proficiency in the COINS TI System.
- Process daily Additional Work Reports efficiently.
- Prepare small-scale quotes/proposals (under $25K) as required.
- Engage with internal and external stakeholders to collect necessary information for quotations.
- Coordinate with vendors to obtain pricing for services essential for proposal completion.
- Update the COINS TI Additional Work Report Tab with relevant Quote Numbers.
- Communicate with the Unitary Service Coordinator and Unitary Service Manager regarding approved quotes.
- Collaborate with various departments within EMCOR Government Services as needed for assigned tasks.
- Modify, adjust, and revise scopes, bid templates, presentation documents, etc., as necessary.
- Maintain ongoing communication with the Service Coordinator and/or supported personnel.
- Interact professionally with team members and other departments (e.g., Operations, chiller teams, project management).
- Exhibit a commitment to personal and professional development.
- Perform additional duties as assigned by the Service Manager.
Job Qualifications:
- Proficient in MS Office, particularly Word and Excel, as well as Adobe Acrobat.
- Minimum of 3 years' experience in an administrative support capacity.
- Strong communication skills and the ability to collaborate effectively within a team.
- Detail-oriented with a logical and methodical approach to problem-solving.
- Exceptional organizational abilities.
- Self-motivated and dependable.
- Capability to manage time effectively and prioritize tasks.
- Able to work efficiently under pressure.
