Role Summary
The Procurement Specialist is responsible for assisting with cost estimations based on specific business requirements. This position involves regular interaction with both internal teams and external partners.
The role also aids the procurement team in organizing and maintaining essential information, as well as providing necessary reporting and insights.
Depending on geographical expertise or knowledge, the role may focus on specialized business areas or functions. The Procurement Specialist exemplifies the organization's values in all communications and promotes safe work practices.Key Responsibilities
Procurement Functions
Facilitate estimating processes in accordance with established protocols.
Analyze specifications and client requirements to determine necessary quality standards.
Gather material pricing and compile required information to create and submit proposals.
Update clients through third-party platforms regarding job status post-approval.
Order materials and monitor deliveries, keeping the dispatch team and clients informed through various communication channels.
Coordinate with the dispatch team to streamline installation scheduling.
Engage in procurement discussions with internal stakeholders, vendors, subject matter experts, and business leaders.
Ensure compliance of all vendors and products with safety, health, and environmental regulations.
Contribute to the completion of additional key initiatives as assigned.
Business Support and Project Coordination
Prioritize organizational requirements concerning meetings, deadlines, and project timelines.
Provide timely cost estimates to facilitate project tracking within established budgets.
Process warranties for both residential and commercial sectors.
Maintain current and historical procurement databases and reports for reference.
Assist with special projects and geographical support based on business needs.
Qualifications and Skills
Knowledge and Expertise
High school diploma or equivalent; an associate degree or further education is advantageous.
A minimum of 1 year of estimating or related experience is required.
Experience in the HVAC industry and estimating for national accounts is preferred.
Strong customer service skills and problem-solving abilities.
Solid mathematical skills and an analytical mindset for assessing project scope and methods.
Exceptional organizational, planning, time management, and documentation skills with the ability to multitask effectively.
Strong research and analytical skills to accurately estimate costs and review project requirements with attention to detail.
A proactive self-starter with critical thinking and decision-making capabilities, able to work independently and collaboratively.Build and maintain effective working relationships with team members, various internal departments, external resources, and clients.
Excellent interpersonal skills, including active listening and clear communication, both written and verbal.
