SPEA America, a subsidiary of the SPEA S.p.A Group, a global leader in testing systems for microchips and electronic boards, is seeking an Administrative Support Specialist for its Tyler Office.

This role plays a crucial part in managing administrative and order processing tasks within the company. The ideal candidate will possess high precision, attention to detail, and the ability to work effectively in a dynamic environment.

Key Responsibilities:

  • Accurate and timely management of incoming orders, including registration, processing, verification of product availability, and shipment coordination.
  • Generation of spare parts quotations based on incoming requests from the Sales Group, Customer Support Group, or directly from customers.
  • Ensuring ITAR and customer AVL requirements compliance.
  • Managing the service team's calendar to keep the intervention schedule up-to-date for the Service Group.
  • Service contracts expiration, renewal, and quotation, including sending reminders to customers and the sales team.
  • Providing customer support with questions about orders, shipping issues, or product information requests.
  • Collaborating with internal departments, such as logistics, warehouse, sales, and accounting, to ensure efficient order information flow.
  • Maintaining and accurately updating order records, shipping documents, and other relevant documents.
  • Verifying the accuracy of orders processed, ensuring compliance with customer requirements and company protocols.
  • Supporting general administrative tasks, such as reporting, email management, data entry, and other tasks as needed.

Requirements:

  • High school diploma or a degree in a related field.
  • Previous experience in administrative or order processing roles.
  • Knowledge of order management software and office automation applications.
  • Excellent communication skills, customer orientation, and organizational skills.
  • Retail attitude and precision.
  • Multitasking skills and time management.
  • Ability to work effectively both in a team and independently.
  • Customer orientation and problem-solving skills.
  • Adaptability and flexibility in a dynamic working environment.
