Job Title: Intake Coordinator

Iron Bridge Recovery Center is seeking a highly skilled and compassionate Intake Coordinator to join our team. As a key member of our admissions department, you will play a vital role in ensuring a smooth and welcoming experience for our clients and their families.

Key Responsibilities:
  • Establish and maintain a professional and welcoming environment at the front desk, providing exceptional customer service to clients, visitors, and staff.
  • Handle phone triage, address requests for services, and perform client callbacks, documenting all call activities in our CRM system.
  • Respond to inquiries about facility services and availability, providing accurate and timely information to clients and referral sources.
  • Perform preregistration, verify insurance eligibility, and coordinate with insurance companies to ensure seamless admissions processes.
  • Facilitate assessment and/or intake to facility services when appropriate, working closely with clients, family members, and referral sources to ensure a smooth transition.
  • Provide administrative support to the admissions department, ensuring quality service to clients and their families, and maintaining accurate records and documentation.
  • Conduct preadmission assessments and complete admission precertification as needed, reviewing prospective admissions against approved criteria, policies, and procedures.
  • Interview clients, family members, and/or collateral sources to ensure intake criteria are met, and assess family needs for mediation, sober escort, and intervention.
  • Work closely with other departments and external parties to ensure timely admission of clients, maintaining open communication and collaboration to achieve our goals.
  • Document daily activities, contacts, appointments, and events in our CRM system, ensuring accurate and up-to-date records.
  • Complete insurance verifications for all clients per guidelines on all private insurance admissions, and screen calls from referrals to set up transportation for admission.
  • Maintain a waiting list for admissions and stay in contact with potential candidates, ensuring a smooth and efficient admissions process.
  • Greet and assist clients, visitors, and staff in the front office, overseeing traffic flow and incidents in the lobby area.

Requirements:

  • One or more years of experience in healthcare admissions, preferably in mental health or substance use disorder.
  • High School Diploma or equivalent required; Bachelor's Degree in social work, psychology, counseling, or related field preferred.
  • CPR certification and de-escalation training required (training available upon hire and provided by facility).

Preferred Qualifications:

  • Knowledge of community resources and outstanding interpersonal, interviewing, and assessment skills.
