Job Description:
- We're seeking an Executive Assistant to support our owner, Lori Pecikonis. As a key member of our team, you'll provide comprehensive support to ensure smooth operations while maintaining professionalism and confidentiality.
- You'll manage the executive's daily schedule, coordinate meetings, calls, and appointments, and adjust appointments as needed.
- You'll handle email management, draft and proofread emails, reports, and other documents, and answer phone calls and emails on behalf of the executive.
- You'll prepare agendas and materials for meetings, organize virtual and in-person meetings, and handle all logistics.
- You'll anticipate the executive's needs, manage tasks and priorities proactively, and maintain a to-do list and follow up on outstanding tasks.
- You'll manage special projects, ensure deadlines and quality standards are met, and provide regular updates on key initiatives and progress.
- You'll handle sensitive information with discretion and maintain professionalism and integrity in all communications.
- You'll manage guest communication, reservations, and property upkeep, and coordinate maintenance and repairs to ensure smooth operations.
- You'll provide administrative support, including phone calls, visitor management, and coordinating office events.
Required Skills and Qualifications:
- Bachelor's degree preferred or 3+ years of relevant experience in an administrative support role.
- Excellent communication skills, both written and verbal.
- Strong interpersonal skills, with the ability to collaborate effectively under pressure and navigate complex personalities.
- Sharp problem-solving abilities and attention to detail.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and the ability to quickly adapt to new software.
- Familiarity with CRM systems and data entry to manage client interactions and track progress.
- Ability to thrive in a fast-paced environment and adapt to changing priorities.
- A proactive, results-oriented mindset focused on meeting deadlines.
- Experience managing special projects and coordinating across teams is a plus.
