POSITION OVERVIEW

Under the supervision of the program manager for the SJSU College Corps, the Program Operations Coordinator plays a crucial role in supporting the planning and coordination of activities associated with the daily operations of the SJSU College Corps, a grant program funded by California Volunteers and AmeriCorps. This position involves assisting with the recruitment, training, oversight, and evaluation of College Corps members regularly. Additionally, the coordinator is tasked with verifying and entering the time of each College Corps Fellow into the designated system as required by California Volunteers. The coordinator will also support data collection efforts to ensure compliance with the program's requirements as stipulated by California Volunteers and AmeriCorps regulations. Furthermore, the coordinator will facilitate partnerships with community organizations and educational institutions to implement the program effectively, providing ongoing support at service sites and participating in seminars. Regular engagement with teams of fellows is essential to ensure their involvement and timely completion of program objectives. SJSU College Corps members focus on delivering computer programming enrichment to underserved students in grades 3-6 and engage in various local and regional service initiatives.

The ideal candidate will possess experience in timesheet management, data collection and reporting, program support, an understanding of the challenges faced by low-income and immigrant communities, and experience working with diverse populations. A background in education or tutoring, knowledge of national service, and a collaborative spirit to support College Corps members and service partnerships in achieving their goals are essential.

KEY RESPONSIBILITIES
  1. Assist in the daily operations of the SJSU College Corps.
  2. Verify service completion and manage data entry for all timekeeping processes, including updating the timekeeping web application weekly and maintaining member files.
  3. Support the preparation of necessary checks and progress reports for California Volunteers and AmeriCorps.
  4. Collect and maintain data, inputting it into reporting systems.
  5. Engage in program implementation activities, such as assembling kits for distribution, preparing materials for printing, and uploading media to web applications.
  6. Maintain a presence at service sites to deliver materials and assist in monitoring and assessing the experiences of fellows and students in the field.
  7. Collaborate with the program manager and coordinator in creating content for fellows and participants in grades 3-6.
  8. Assist in developing and implementing training programs for fellows.
  9. Support efforts in fellow recruitment and retention.
  10. Update websites and web applications as needed.
  11. Contribute to the creation of content for social media platforms.
  12. Participate in service days and departmental events to promote the program's mission, goals, and objectives to students, faculty, and community members.
  13. Perform additional duties related to the Center for Community Learning & Leadership as assigned.
INTERPERSONAL RELATIONS
  1. Reports directly to the College Corps program manager.
  2. Frequently collaborates with Center and grant staff, fellows, and members of the campus and local community.
SUPERVISORY DUTIES

This position does not have supervisory responsibilities but will assist the program manager in guiding the work of the fellows.

QUALIFICATIONS

Education and Experience
  • Must possess an Associate Degree or equivalent college experience.
  • Must have experience in program assistance, coordination, and/or supervision.
Required Knowledge, Skills, and Abilities
  • Proficiency in Microsoft Suite, learning management systems, and data collection and reporting software.
  • Ability to take initiative, work independently, and exercise sound professional judgment.
  • Detail-oriented with strong leadership, organizational, communication, and interpersonal skills.
  • Capability to effectively manage multiple priorities and projects.
Physical Requirements
  • Able to operate general office equipment.
  • Capable of sitting for extended periods.
  • Visual acuity for concentrated computer use.
  • Able to push, pull, carry, or lift up to 20 lbs., with or without assistance.
WORK COMPLEXITY
  • Works under general supervision on specific assignments following established policies, procedures, and practices.
  • Work is subject to regular checks and reviews to ensure adherence to procedures.
SCHEDULE REQUIREMENTS
  • Required to work a minimum of three days in-person, Monday through Friday, from 8:30 am to 5:00 pm, with occasional weekends and evenings.

A background check, including a criminal records check, must be satisfactorily completed before any candidate can be offered a position with the SJSURF.
