Duties and Responsibilities:

  • Confirm client insurance details; secure electronic signatures from clients upon their arrival, ensuring no alterations in insurance, address, or contact information since their previous visit; record any changes in the Electronic Client Records (ECR) system.
  • Manage incoming calls and welcome walk-in clients; clarify the process for becoming a client; schedule appointments following established protocols.
  • Collaborate with the billing department to address any billing discrepancies as they occur.
  • Perform additional tasks as directed by your supervisor.

Assist the Front Desk Supervisor with:

  • Generating daily patient reports to assess outstanding balances and facilitating timely collection of payments.
  • Creating suitable payment plans for patients.
  • Sending out delinquency notifications, follow-up termination letters, and monthly statements to patients.
  • Ensuring that new clients possess valid insurance or a signed payment agreement along with necessary income verification documents before scheduling their initial evaluation.
  • Preparing weekly Scheduled Appointment Reports for various programs to confirm active insurance and ensure timely setup for patients lacking coverage to meet with an Insurance Navigator. In the meantime, appointments will be arranged to collect income verification documents, determine applicable private pay rates based on the organization’s sliding scale, and input that information into the ECR system.

Qualifications:

  • Associate degree in office technology, business administration, or a related field, along with five years of administrative experience, preferably in a healthcare or behavioral health setting.
  • Strong organizational abilities; attention to detail; capacity to manage multiple tasks and work effectively under pressure.
  • Certification as a Medical Biller is preferred.
  • Proficient in Microsoft Office Suite.
