Position Overview: LevelUP HCS is seeking a dedicated Facilities Associate to assist with vendor management, construction projects, installations, repairs, and the maintenance of all building systems and infrastructure. The Facilities Associate will report directly to the Facilities Manager and collaborate closely with the VP of Real Estate & Facilities and the COO of Corporate Services.

Key Responsibilities:

  • Act as a primary support for project managers on all relocation, construction, and office enhancement initiatives.
  • Facilitate daily operational needs, addressing requests and concerns from onsite personnel to ensure optimal employee satisfaction.
  • Respond promptly and positively to all inquiries, complaints, and suggestions, conducting follow-ups to ensure quality assurance.
  • Engage in weekly team meetings to discuss outcomes, challenges, and strategies aimed at achieving team goals.
  • Maintain an updated vendor contact list for Real Estate & Facilities.
  • Coordinate with the Accounting department to ensure timely processing of invoices.
  • Collaborate with the facility maintenance team to uphold the aesthetic and functional quality of the workspace, addressing issues such as furniture stains, damaged carpets, and lighting problems.
  • Conduct daily inspections of building conditions, grounds, and equipment, making recommendations for necessary repairs and enhancements.
  • Perform essential facilities tasks, including sanitizing designated areas, managing cleaning requirements, maintaining supplies, and ensuring signage is clear and well-presented.

Qualifications:

  • High school diploma or equivalent; a college degree is preferred.
  • A minimum of 2 years of relevant experience in a facilities support capacity.
  • Excellent interpersonal skills, with strong written and verbal communication abilities.
  • Capability to work collaboratively in a team setting while also being able to operate independently with minimal supervision.
  • A positive team player who can inspire colleagues and foster strong internal and external relationships.
  • Proven ability to meet deadlines while managing multiple complex projects effectively.
  • Exceptional organizational skills and adaptability, with a keen attention to detail.
  • Ability to comprehend facilities-related inquiries and provide appropriate responses.
  • Proficiency in Microsoft Office, especially Excel.
