About Incarnate Word High School

The successful candidate will be responsible for managing the donor and alumnae database, preparing donor communications, assisting with alumnae engagement activities, overseeing the school shop, pulling fundraising reports, and soliciting donations for signature events.

About the Role

This is a full-time position that requires occasional evening and weekend hours for events. The Advancement Coordinator will work collaboratively with the Director of Advancement to ensure personalized and meaningful communication with donors. They will also support alumnae engagement initiatives, including managing alumnae records and communications.

Key Responsibilities

  • Maintain and manage the donor and alumnae database
  • Accurately enter and update donor, alumnae, and gift information, ensuring data integrity and confidentiality
  • Generate reports, queries, and mailing lists to support fundraising and engagement efforts
  • Prepare and send timely thank-you letters, tax receipts, and other acknowledgment communications to donors
  • Coordinate with the Director of Advancement to ensure personalized and meaningful communication with donors
  • Track and document donor interactions and follow-up actions in the database
  • Support alumnae engagement initiatives, including managing alumnae records and communications
  • Collaborate with the Director of Advancement on programs designed to strengthen connections between alumnae and the school
  • Provide logistical and administrative support for fundraising events, alumnae gatherings, and other school-related functions
  • Assist with event planning, including preparing materials, coordinating volunteers, and tracking RSVPs
  • Solicit donations from individuals, businesses, and organizations for signature events such as galas, fundraisers, and other key school functions
  • Manage the day-to-day operations of the school shop, including volunteers, inventory control, sales, and customer service
  • Coordinate with vendors to stock and order school merchandise
  • Ensure the school shop aligns with branding and supports the school's mission

Requirements

  • A bachelor's degree in business administration, communications, or a related field is required
  • Experience in database management (experience with Little Green Light or a similar CRM) is preferred
  • Strong organizational skills and attention to detail are essential
  • Excellent written and verbal communication skills are required
  • Ability to manage multiple projects and deadlines is necessary

Salary and Benefits

The estimated salary for this position is $55,000-$65,000 per year, depending on experience. In addition to a competitive salary, the successful candidate will receive a comprehensive benefits package, including health insurance, retirement plan, and paid time off.
