JOB SUMMARY:


The Customer Engagement Coordinator plays a vital role in supporting the sales and customer account teams during client visits, ensuring a seamless and rewarding experience while managing the logistical aspects of the Customer Center.


JOB RESPONSIBILITIES:


This position is responsible for greeting clients and serving as the initial point of contact at the Delivery Center.

Maintains and organizes the daily customer visit schedule.

Develops and oversees schedules, arranging all meeting necessities (catering, special requests, etc.) that facilitate customer visits and internal gatherings, including requests from Senior Leadership.

Generates weekly, monthly, and annual reports.
Prepares customer identification badges, signage, and conducts Restricted Party Screenings.

Assists Customer Account Administrators, clients, staff, sales teams, and Senior Management in fulfilling requirements for candidate visits, aircraft handovers, specification sessions, and pre-sale prospect visits.

Oversees and coordinates customer meeting rooms, ensuring refreshments and catering are provided.
Manages daily food requirements for guests at the Customer Delivery Center and communicates needs with the catering service. Collaborates with the caterer to track supplies of coffee, soft drinks, etc., and places orders as necessary.

Engages in regular evaluations with management and catering staff to guarantee that clients and internal meetings receive exceptional service.

Coordinates catering orders for Flight Operations and handles last-minute requests for customer outbound flights.
Organizes facility requests for the Customer Center.

Ensures customer meeting rooms are tidy and properly arranged, resetting them as needed for subsequent events.

Communicates with vendors and suppliers associated with the Customer Center.

Collaborates with Customer Experience personnel on weekly menu selections for Delivery Centers and manages any last-minute catering adjustments or special dietary needs.

Conducts periodic assessments of local hotels and car rental services to gather updates on amenities and capabilities for inclusion in the Customer Visitor's Guide.

Schedules transportation for customer visits and occasionally assists in transporting clients between locations. Monitors vehicle schedules and maintenance, coordinating cleaning for recurring services and special occasions.
Works alongside the Customer Experience Manager and Sales & Marketing teams on special events held in the Customer Center.
Handles invoice reconciliation and orders/re-orders miscellaneous supplies.

EDUCATION/EXPERIENCE:
High school diploma or equivalent required; an Associate's degree is preferred.

Minimum of 2 years of customer-facing or related experience required.

EXPERIENCE:


The ideal candidate must provide exceptional customer service to both internal and external clients and employees at all levels, including Senior Leadership, and must possess outstanding interpersonal communication skills.

Must be adept at multitasking, anticipating requests, and consistently exceeding customer expectations.
Proficient in Microsoft Office applications and capable of learning new software as needed.

Exhibits a professional demeanor and appearance, possesses excellent written and verbal communication skills, and can effectively engage with the public, clients, and interdepartmental personnel.

Must demonstrate superior organizational and time management abilities.
Experience in hospitality and catering is advantageous.
