Job Purpose & Scope:


Provides legal and administrative assistance, as directed by the General Counsel, focusing on utilizing workflow software platforms and technologies to manage and coordinate legal matters.


Essential Job Functions:


Conducts general office tasks, including logging, documenting, distributing, monitoring, and tracking legal matters received by the Office of General Counsel.


Performs initial reviews and drafts relevant documents concerning various legal issues involving business entities, trusts, estates, powers of attorney, guardianships, POD claims, IRAs, governmental entities, escrow accounts, and other intricate accounts.

Coordinates all facets of legal matter intake and tracking in relation to workflow software platforms and technologies.

Secures necessary documentation from opposing counsel, as required.

Handles incoming calls and addresses inquiries promptly and accurately.

Assists the General Counsel in preparing and filing pleadings, as needed, and in organizing hearings and appointments.

Completes special assignments related to legal actions.

Maintains a precise follow-up system to review cases, as appropriate.

Prepares and processes correspondence, legal papers, and documents necessitating a working knowledge of legal format, terminology, and procedures.

Researches, compiles, and analyzes data for special projects and various reports.


Obtains documentation and collaborates closely with Retail Banking personnel regarding complex accounts, including organizing documents related to such accounts and utilizing internal forms pertinent to these accounts.

Maintains an accurate follow-up system to gather additional information necessary for the proper evaluation of requests to open complex accounts.

Coordinates customer luncheons with caterers, including setup and cleanup of the conference room, as necessary.

Demonstrates good punctuality and attendance at work.

Adheres to Bank policies, procedures, and guidelines.

Provides assistance to colleagues in the department, as needed.

Knowledge, Skills & Abilities:
Familiarity with legal workflow software platforms and technologies.

Understanding of basic contract boilerplate provisions and contract analysis.

Working knowledge of legal terminology, legal procedures, and court systems.

Familiarity with essential legal documents, such as contracts, business entity formation documents, trusts, estates, powers of attorney, and guardianships.

Ability to draft preliminary internal and/or legal documents for review by the General Counsel.

Capacity to maintain current knowledge of new rules, regulations, and legislation relevant to the organization.

Effective communication skills, both verbal and written.

Ability to work efficiently both independently and as part of a team.

Capacity to maintain cooperative relationships with the public.

Ability to organize work, manage time effectively, and handle multiple priorities with strict deadlines.

Ability to coordinate projects and communicate changes/progress.

Demonstrates accuracy and thoroughness in work.

Basic Qualifications:
A high school diploma or equivalent is required.

3+ years of experience in an administrative role, preferably in a legal setting, is required.

Familiarity with, and/or experience in using, workflow software platforms and related technologies.
