Position Overview

The Healthcare Access Coordinator plays a pivotal role in engaging with patients and clinical staff, utilizing exceptional customer service skills while efficiently managing all front desk operations related to patient care and providing interpretation services.

Key Responsibilities

The Healthcare Access Coordinator is responsible for demonstrating proficient data entry skills and supporting the billing and collection processes through knowledge of insurance verification and self-pay collections. Confidentiality must be maintained at all times, with a commitment to enhancing job-specific competencies and performing additional duties as required. Typical responsibilities include, but are not limited to:

Epic Responsibilities:
  • Registering patients to comply with regulatory standards; enrolling patients in the My Chart Portal; updating patient information; printing profiles; scheduling appointments; managing recall lists; and scanning documents into the Electronic Health Record (EHR).
Payment Management:
  • Opening, balancing, and closing the daily cash drawer; processing payments via credit card; collecting co-pays, deductibles, and co-insurance at the point of service; and facilitating payment arrangements.
Patient Scheduling:
  • Reviewing daily schedules for accuracy; filing appointment opportunities; obtaining medical releases for patient-requested forms; and pre-registering patients either by phone or in person.
  • Ensuring accurate entry of insurance, demographic, and eligibility information; performing insurance verification for all third-party payers; discussing financial terms and payment options with patients during pre-registration; calculating sliding fee eligibility based on client income; and documenting the financial counseling process.
Qualifications
  • A High School diploma or GED is required, with a minimum of one year of relevant experience and strong data entry skills preferred.
  • Experience with electronic appointment scheduling and customer service, along with knowledge of referral or prior authorization procedures, is also preferred.
  • Excellent interpersonal skills and phone etiquette, along with strong critical thinking and problem-solving abilities, are essential for teamwork in serving patients.
  • Bi-lingual proficiency in English and Spanish is required.
  • Physical Requirements/Work Environment:
  • Variable 8-hour shifts between 7 am and 8 pm, including weekends as necessary.
  • Minimal physical effort is required, with the ability to operate a computer and telephone continuously.
  • District travel may be necessary.
Supervision

No supervisory responsibilities.

OSHA Status

Category III - Low Risk Position

Typically works in an office environment with no exposure to bloodborne pathogens.

Physical Demands

Physical: Requires walking, bending, sitting, standing, writing, reading, telephone use, and data input into a computer. Mental: Ability to manage changing priorities under potentially stressful conditions. Manual Dexterity: Ability to use a keyboard and telephone.
