POSITION SUMMARY: The Patient Access Representative plays a crucial role in facilitating the check-in and check-out processes for patients, staff, and healthcare providers. This position is also responsible for managing appointment scheduling and maintaining patient charts. The representative ensures that patients receive comprehensive information to maximize their experience with clinic services, all while promoting a welcoming atmosphere.

KEY RESPONSIBILITIES:

  • Welcomes patients and visitors in a friendly, prompt, and professional manner.
  • Handles patient check-in and check-out procedures, confirming current information and collecting updated details and documentation as needed.
  • Inputs patient insurance details and relevant documents into the Electronic Medical Records (EMR) system.
  • Processes payments, issues receipts, and accurately applies copayments or coinsurance to patient accounts.
  • Ensures daily reconciliation of charges and fees incurred in the office, preparing deposits as required.
  • Schedules follow-up appointments efficiently.
  • Manages incoming calls, screens inquiries, takes messages, and communicates effectively with patients, their families, and referring physicians.
  • Collaborates with clinical staff to enhance patient care and streamline clinic operations.
  • Keeps the reception and work areas organized and tidy at all times.
  • Handles the distribution of faxes and mail as necessary.

Qualifications:
  • High School diploma or GED, or equivalent experience.
  • 1-2 years of experience in a medical receptionist role.
  • 1-2 years of experience in insurance verification processes.
