Position: Clinic Access Representative - Full-Time
Role Summary:
The Clinic Access Representative is responsible for a range of patient care tasks that support the Provider/Medical Assistant in the daily functioning of the clinic, ensuring operational efficiency. This role involves scheduling appointments in advance and facilitating timely access for walk-in patients to see the provider. Additionally, the representative manages supplies in the workspace and upholds a safe environment while ensuring that patient demographic and billing information is thorough and accurate.
Key Responsibilities:
- Prepare the front office for upcoming appointments.
- Collect, monitor, and accurately document patient demographics, insurance details, and authorization forms for each visit.
- Process copayments and other payments from patients for services rendered.
- Assist in answering phone calls and creating tasks for appropriate follow-up.
- Make reminder calls to patients regarding their scheduled appointments.
- Scan and file documents appropriately.
- Maintain cleanliness of the work area at the end of each day.
- Provide follow-up and respond to patient inquiries.
- Manage inventory of office supplies.
- Request medical records from previous providers, emergency rooms, or hospitals as necessary for scheduled patients.
- Handle medical record requests from patients, other healthcare providers, and legal offices.
Qualifications:
- High School Diploma is required; an Associate's degree is preferred.
- Possess a personal demeanor characterized by honesty, integrity, and compassion.
- Basic computer proficiency is necessary; experience with Microsoft Office is required.
- Accurate typing skills are essential.
- Ability to remain calm and effective in emergency situations.
- Strong communication skills, with the ability to understand and respond to detailed oral and written instructions.

The responsibilities of this position may evolve based on departmental needs, and employees may be required to undertake additional or different tasks as necessary.
