Job Overview and Responsibilities

As a key member of the financial team, you will be responsible for reviewing, auditing, and processing payments for various contracts, purchase orders, inter-agency agreements, and estimates. Your role will involve managing miscellaneous invoices, including utilities, maintenance, and auto repairs, ensuring compliance with all relevant laws and regulations prior to payment.

You will utilize the Financial Information System for California (FI$Cal) on a daily basis to handle invoice processing and maintain accurate payment histories. This includes auditing invoices and supporting documents to ensure adherence to the State Administrative Manual and departmental policies.

In addition, you will be tasked with:

  • Reviewing and preparing coding for direct transfer invoices from other state agencies.
  • Analyzing expenses to ensure accurate and timely entry into FI$Cal.
  • Addressing daily FI$Cal errors and denied vouchers in collaboration with your supervisor.
  • Resolving discrepancies in invoices by coordinating with area offices and suppliers.
  • Calculating late payment penalties and disputing invoices as necessary.
  • Assisting in the liquidation of any remaining encumbered balances after project completion.

Work Environment

You will work in an office cubicle setting equipped with computers, phones, and other office machinery.

Special Requirements

  • A background investigation must be cleared prior to employment.
  • Verification of minimum qualifications will be conducted before appointment.

For those with foreign degrees, a third-party credential evaluation is required to confirm equivalency.
