Position Overview
The Operations Manager plays a pivotal role in leading office functions, ensuring that administrative systems, procedures, and policies are effectively implemented. Collaborating closely with the Office Head, you will facilitate smooth office operations and align efforts with corporate departments and team members to achieve organizational objectives.
Key Responsibilities
- Oversee daily office activities and streamline operations for enhanced efficiency.
- Implement and communicate company policies and best practices to the team.
- Support the development of administrative staff through training and resource access.
- Manage correspondence, prepare documents, and create presentations.
- Produce tailored property information materials and organize essential correspondence.
- Assist in managing deal statuses and coordinating marketing efforts.
- Participate in office planning and contribute to company-wide events.
- Coordinate special activities, including staff appreciation events and office relocations.
- Monitor budgetary constraints while approving expenses and conducting expense analyses.
- Maintain filing systems and oversee document retention and destruction protocols.
- Ensure data accuracy in internal databases and follow up on missing information.
- Act as the primary contact for corporate departments, including HR, Accounting, Marketing, and IT.
- Handle recruitment processes, onboarding, and performance reviews in collaboration with HR.
- Address personnel issues in accordance with employment laws and company policies.
- Process invoices and review employee expense reports in conjunction with Accounting.
- Collaborate with Marketing on event coordination and publication efforts.
- Work with IT to ensure employees have the necessary equipment and access.
- Perform additional duties as assigned.
Qualifications
To be successful in this role, candidates should possess:
- A minimum of 5 years of experience in office management or administrative roles.
- Experience in accounting, human resources, IT, and facilities management is preferred.
- Strong leadership abilities and effective communication skills across all organizational levels.
- Excellent organizational, grammatical, and time-management skills.
- The capability to work independently while fostering a collaborative team environment.
- A background in real estate or finance is advantageous.
Education
A college degree is preferred, or equivalent experience is acceptable.
Technical Skills
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with Windows operating systems is required.
Work Environment
This position is primarily office-based, involving the use of computers, copiers, and scanners.
