Job Summary

We are seeking a highly organized and detail-oriented Property Administrator to join our team at US AMR-Jones Lang LaSalle Americas, Inc. The successful candidate will be responsible for providing administrative support to our property management team, ensuring the smooth operation of our properties.

Key Responsibilities
  • Process and code all accounts payable invoices in accordance with established schedules.
  • Ensure timely payment of invoices and review past due invoices to ensure proper payment has been made.
  • Prepare and send rent statements to tenants in a timely manner.
  • Collect rent and maintain accurate accounts receivable balances.
  • Provide lease administration services, including lease abstraction and lease file maintenance.
  • Track and maintain Certificates of Insurance, notifying tenants and vendors of expired COIs and COI requirements.
  • Generate contracts for services at the property as directed by the General Manager.
  • Complete assigned financial reporting tasks to support client requirements.
  • Assist the General Manager in preparing the annual asset plan and budget.
  • Provide quality assurance on contracted vendors as requested by the General Manager.
  • Participate in the property's Team Emergency Response Plan and procedures.
  • Assist in Move-In/Move-Out processes and procedures.
  • Answer telephones and greet visitors.
  • Administer tenant relations programs, including tenant events.
  • Handle tenant issues regarding maintenance or service requests promptly, escalating urgent matters to the General Manager when necessary.
Requirements
  • High school diploma required; Bachelor's degree preferred.
  • Minimum of one year of administrative support experience, including AP/AR experience and familiarity with financial statements.
  • Property management administrative support experience preferred.
Preferred Qualifications
  • Outgoing individuals with proven customer service skills.
  • Strong computer skills with the Microsoft Office suite of products.
  • Excellent verbal and written communication skills.
