POSITION SUMMARY: This role offers operational guidance in collaboration with the Executive Director and Program Directors to advance the mission of MNCASA. The Director of Operations oversees various organizational strategic functions, including management of internal processes and contracts, while fostering policies and procedures that enhance organizational efficiency.

EMPLOYEE BENEFITS:

This position allows for flexible work arrangements, including hybrid or remote options. The Director of Operations is expected to be present at the office a few days each week. The workplace is accessible and maintains a smoke-free environment. Standard working hours apply, with the possibility of occasional evening or weekend commitments.
  • Annual salary range of $77,500 - $83,500

KEY RESPONSIBILITIES:

Administrative and Operational Oversight
  • Represent the organization at community events and on various committees.
  • Oversee IT services in collaboration with the IT contractor.
  • Manage daily office operations, including mail, deliveries, equipment, and supplies.
  • Oversee organizational contracts for professional services.
  • Coordinate with human resources and employee benefits programs.
  • Manage business insurance renewals with the insurance broker.
Financial Oversight
  • Collaborate with the Executive Director and Program Directors to manage organizational finances and ensure accountability.
  • Assist with grant applications, budget development, and document preparation.
  • Create monthly staff time allocation plans.
  • Work with the Executive Director to develop and implement budgets, ensuring adherence and preparing drafts for board approval.
  • Authorize purchases and expenditures up to $5,000.
  • Assist in invoicing and financial documentation.
  • Develop strategies for efficient use of human and financial resources.
  • Prepare for annual financial audits.
Organizational Leadership
  • Collaborate with the leadership team to achieve strategic initiatives and goals.
  • Manage facility operations and implement tracking policies and procedures.
  • Work with the Executive Director on strategic planning and monitoring of organizational objectives.
  • Partner with the Executive Director, Program Directors, and HR consultants to refine hiring and internal processes.
  • Promote operational efficiency aligned with strategic goals.
Supervisory Duties
  • Manage team performance, ensuring adequate training and support for professional development.
  • Oversee the hiring process, including job descriptions and performance expectations.
  • Foster effective employee relations and a safe work environment.
  • Handle resignations and terminations according to established protocols.
  • Review and approve leave and overtime requests.
  • Ensure timely entry of personnel changes into the Human Resources Management System.
QUALIFICATIONS:

Education and Experience:
  • Bachelor's degree in a relevant field, with project coordination experience preferred.
  • At least five years of experience in project management and administrative roles, ideally in the nonprofit sector.
  • Experience managing federal and state contracts, with knowledge of grant compliance and budget development.
  • Proficient in financial management, including budget analysis and projections.
Knowledge, Skills, and Abilities:

  • Strong organizational skills and ability to manage multiple projects.
  • Financial management proficiency, with the ability to analyze and interpret financial documents.
  • Leadership skills to implement strategic initiatives and support staff.

  • Proficient in Microsoft Word, Excel, and Outlook.
  • Valid driver's license and reliable transportation.
