Job Description

We are seeking an experienced Operations Manager to oversee daily activities and drive operational efficiency across all operations in the U.S.

Key Responsibilities
  • Plan and Direct: Plan, direct, and coordinate activities to ensure the efficient and cost-effective operation and utilization of assets and facilities.
  • Communication and Collaboration: Maintain constant communication with management, staff, and vendors to ensure proper operations of the organization.
  • Quality Assurance: Develop, implement, and maintain quality assurance protocols, and confer and cooperate with upper management in formulating administrative and operational policies and procedures.
  • Regulatory Compliance: Maintain a complete understanding of and compliance with all regulations set forth by any governing agency.
  • Employee Performance: Monitor employee performance, identify safety issues, and address operational needs.
  • Team Leadership: Lead, motivate, coach, and support a team within a time-sensitive and demanding environment.
Daily and Monthly Responsibilities
  • Team Supervision: Assume first-line supervision of on-site and non-location employees and ensure company policies and procedures are followed.
  • Training and Development: Set up the standard training program for all levels of employees involved in operations and train them.
  • Performance Management: Ensure all non-performing team members are identified, appropriately supported, and managed as required.
  • Time-Off Management: Manage vacation and time-off requests based on driver, company, and customer needs.
  • Driver and Staff Management: Interview necessary drivers and staff, complete customer complaint investigations, and maintain/order necessary driver and staff uniforms.
  • Emergency Preparedness: Develop emergency protocols for all possible scenarios involving vehicle problems, guest issues, weather extremes, road closures, etc.
  • Software and System Proficiency: Become proficient with all software and monitoring systems.
  • Process Improvement: Partner with cross-functional support teams in improving proprietary tools and systems.
  • Dispatch and Fleet Management: Plan and dispatch drivers in fleet, assign vehicles to routes, and ensure drivers have the daily documentation necessary to complete their routes.
  • Maintenance and Repair: Ensure vehicles dispatched are in proper working condition and daily DVI (pre and post trip) forms have been submitted.
  • Operational Oversight: Coordinate the dispatching, in-service monitoring, and activities involved in daily transit operations.
  • Maintenance Coordination: Coordinate and manage maintenance program for vehicles with staff mechanics and outside providers.
  • Inter-Departmental Coordination: Coordinate between drivers and shop to ensure all maintenance issues are satisfied.
  • Operational Support: Assist in day-to-day operational oversight of all locations operations, including billing, payroll, routing/scheduling, DOT & state compliance, accounts receivable and accounts payable, recruitment and hiring of employees.
Requirements
  • Education: Bachelors degree in operations management, business administration, or related field.
  • Experience: 2+ years proven experience in an operations management position.
  • Leadership and Communication Skills: Excellent ability to delegate responsibilities while maintaining organizational control of branch operations and customer service.
  • Planning and Organization Skills: Excellent planning and organization skills.
  • Leadership and Management Skills: Strong leadership skills including the ability to hire, coach, counsel, train, mentor, and terminate employees.
  • Communication Skills: Excellent verbal, written, and listening communication skills.
  • Problem-Solving Skills: Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Time Management Skills: Capable of working under tight time constraints with multiple priorities.
  • Software Proficiency: Knowledge of general business software and aptitude to learn new applications; proficiency in Microsoft Office (Word, Excel, Outlook, Teams).
  • Availability: Available for weekends and holidays, and available to travel within the U.S.
  • Criminal Background Check: Able to pass a criminal background check.
