The Senior Project Operations Manager plays a pivotal role within the project team, focusing on comprehensive project risk assessment, strategic planning, contracting, oversight, and overall management of various project elements. This role may involve overseeing a single, extensive, and intricate project or managing multiple projects, depending on the specific requirements of the organization and the project at hand.
This position is tasked with leading project teams in daily operations, which encompass budgeting, change management, risk mitigation, scheduling, and procurement oversight. The Senior Project Operations Manager is responsible for identifying, understanding, and managing project risks while escalating critical issues to upper management, including the Division Manager. This role also includes providing leadership, mentorship, training, and coaching to project teams as necessary.
Key Responsibilities
- Supervise multiple project teams or a large project team with several Project Managers to ensure all projects are adequately staffed and achieving set milestones and benchmarks.
- Act as the project team advocate to ensure that team members are well-trained and knowledgeable in essential project management processes, standards, and best practices to meet project goals and financial targets.
- Proactively assess and manage risk areas related to each project's financial standing and ongoing relationship status.
- Ensure timely processing of pay applications and management of divisional accounts receivable.
- Maintain a thorough understanding of project closeout statuses, providing guidance and direction as necessary.
- Collaborate with project teams to address situations that escalate and require executive-level intervention and decision-making.
- Communicate project status and risks to the Division Manager and executive team as required.
- Develop and sustain relationships with subcontractors, serving as the primary contact for pre-construction activities related to assigned projects.
- Support project teams in addressing situations that escalate and necessitate executive-level involvement.
- Work alongside the Business Development Manager to implement a Market Engagement Plan.
- Assist the Division Manager in mentoring project management personnel and facilitating relevant training sessions.
- Collaborate with the Business Development Manager and Division Manager to create, implement, and monitor a Market Engagement Plan.
- Establish and maintain executive-level relationships with current and potential clients within the industry.
- Foster and maintain executive-level relationships with the local subcontractor community.
- Ensure appropriate staffing levels are maintained for ongoing workloads and projected projects.
- Mentor project management staff and facilitate relevant training for all personnel.
- Coordinate with Human Resources on performance evaluations, job postings, employee retention, and other staff-related matters as they arise.
- Prepare and conduct performance evaluations for designated employees.
- Organize and/or lead regular project team meetings.
- Collaborate with the estimating department for bids, proposals, and interview preparations.
- Work with the General Superintendent and Safety Director to ensure compliance with safety regulations on assigned job sites and that safety meetings are conducted regularly.
- Establish contracts, vendors, and services to support office operations.
- Ensure regular maintenance of fleet and equipment is performed on divisional assets.
- Engage in business development opportunities in coordination with the Division Manager.
- Communicate project status updates to the Division Manager.
- Ensure staffing levels are suitable for ongoing workloads at assigned projects.
- Assist with performance evaluations for all supervised personnel.
- Understand the intricacies of public projects, including prevailing wage reporting and certified payroll reporting.
- Support recruitment, interviewing, and hiring processes.
- Assist the Division Manager with regular staff meetings and team-building activities.
- Support the Division Manager with divisional office management responsibilities.
Qualifications
- Bachelor's degree in Engineering or Construction Management, with 10+ years of relevant management experience preferred, though not mandatory.
- Experience in leading project teams through design/pre-construction and construction phases.
- Demonstrated success in a leadership and/or supervisory capacity.
- Strong organizational, written, and verbal communication skills.
- Professional demeanor while conducting project interviews and engaging in internal/external interactions.
- Customer-oriented approach with a proven professional demeanor.
- Effective time management skills, ability to multitask, and adherence to deadlines with a keen attention to detail.
- Advanced proficiency in MS Office Suite, MS Project, and Bluebeam.
- Familiarity with BIM/Navisworks/Autodesk is preferred but not required.
- Proven presentation skills, including the use of PowerPoint or Prezi.
- Experience with financial and construction project management software such as Sage 300 CRE and/or Procore.
- Valid driver's license and a clean driving record.
