The Assistant Director Ambulatory Care Services Level 2 plays a critical role in ensuring the smooth operation of our Pediatric Primary Care Practice. This position is responsible for managing day-to-day operations, supervising staff, and ensuring that all visits are properly documented in EPIC. The ideal candidate will have a bachelor's degree in Business Administration or a related field and six years of experience in program development and management. Key responsibilities include:

  • Managing day-to-day operations of the Pediatric Primary Care Practice
  • Providing daily supervision of Coordinating Manager
  • Completing and submitting staff performance evaluations by deadlines
  • Maintaining clerical staff coverage schedule and ensuring adequate coverage
  • Ensuring that all visits are open/close in EPIC on a daily basis to maximize reimbursement
  • Managing all workqueues in EPIC (e.g. referrals, registration errors, claims edit, etc.) for Women's Health
  • Ensuring that clerical staff follow downtime procedures
  • Facilitating biweekly clinic operations meetings
  • Coordinating in-service education and training for staff in the practice
  • Facilitating clerical staff team meetings as necessary
  • Maintaining systems to monitor levels of supplies needed, as well as equipment repairs, routine maintenance, or upgrades in the practices
  • In compliant with hospital policies: enroll staff for mandatory training and in-service education
  • Making studies of adequacy and effectiveness of general administrative and support services and makes recommendations
  • Overseeing performance improvement activities related to practice
  • Preparing data for operating and statistical reports, analysis and makes recommendations
  • Facilitating team meetings as necessary and attends management staff meetings, conferences and consults with Medical and Support Services departments
  • Shares responsibility for addressing patient flow issues, satisfaction and other patient issues
  • Liaison with other team leaders (Chief of Services, ADNs, Head Nurse, Other Practice Managers, ED) regarding templates, patient issues, equipment, etc.
  • Liaison with other ancillary services including Laboratory Medicine, Pharmacy, BioMed, Environmental, Receiving, Purchasing, Accounts Payable, etc.
  • Represent Pediatric practice in PCMH meetings
  • Assist in preparing operating plans and drafts of plans, policies, programs and procedures
  • Participates in various work groups and committees, including but not limited to Patient Experience, Access Initiative, Helping Healers Heal, etc.
  • Participates in DMS activities for Peds Primary Care
  • Identify areas of improvement as it relates to clinic operations
