Key Responsibilities:
The Contract and Fleet Specialist will report directly to the Director of Administrative and Customer Services within Facilities Management Services (FMS). This role involves providing high-level administrative and contract support, which includes:
  • Preparing and overseeing annual service contracts and special reports.
  • Managing payment requests and ensuring timely processing of invoices.
  • Collaborating with various departments, including Design and Construction Services, Building Services, and Maintenance Operations.

Contract Administration:
The responsibilities will include:
  • Supporting the administration of contracts for services such as pest control, waste management, and maintenance.
  • Running financial reports and reviewing purchase orders.
  • Monitoring contract performance and vendor compliance.
  • Providing recommendations for contract renewals based on performance evaluations.

Fleet Management:
This role also encompasses the management of the FMS Fleet, which includes:
  • Maintaining vehicle records and ensuring compliance with maintenance schedules.
  • Assisting in the evaluation of vehicles for purchase or surplus.
  • Working closely with vehicle users to maintain accurate driving logs.

Qualifications:
  • Bachelor's degree with a minimum of three years of relevant experience, or a combination of education and experience.
  • Familiarity with university policies and procurement practices.
  • Proficiency in software applications such as MS Word, Excel, and Outlook.
  • Strong organizational, analytical, and communication skills.
