Job Summary

The Alumni & Donor Operations Support Coordinator plays a vital role in building and maintaining strong relationships between Washington University in St. Louis and its community. This position is responsible for providing exceptional support to alumni, donors, parents, students, and friends, ensuring prompt and efficient resolution of inquiries and issues.

Key Responsibilities
  • Manage multiple inbound communication channels for Engagement and Annual Giving Programs
  • Serve as the primary point of contact for inquiries received through email and phone into the Alumni Association and Annual Fund inboxes and phone lines
  • Proactively respond to inquiries, ensuring prompt and efficient resolution of issues, while maintaining a positive, empathetic, and professional attitude toward constituents at all times
  • Triage complex questions and requests, escalating as needed to appropriate colleagues throughout University Advancement or within WashU departments
  • Communicate on behalf of senior leaders in EAGP
  • Respond to inquiries on behalf of the Associate Vice Chancellor or other senior leaders in EAGP through written and verbal communication channels
  • Maintain a professional, empathetic, and courteous demeanor
  • Handle sensitive and confidential gifts and records management transactions and information with the highest level of integrity and in compliance with university policies
  • Proactively capture relevant communications, comments, and concerns in the university's system of record
  • Generate reports on inquiry trends and present findings to senior management as requested
  • At times, process donation payments over the phone
  • Collaborate and coordinate with university colleagues
  • Maintain expert knowledge about events and programs throughout EAGP and have familiarity with programs throughout University Advancement
  • Identify appropriate contacts in each department to ensure timely and effective responses
  • Leverage colleagues and resources to provide comprehensive support to constituents
  • Tactfully acknowledge and resolve constituent complaints, employing robust problem-solving skills to ensure satisfactory outcomes
Working Conditions

This position is based in a normal office environment, requiring the ability to sit for extended periods and use office equipment.

Requirements
  • High school diploma or equivalent high school certification or combination of education and/or experience
  • Relevant experience (3 years)
