Role Summary
Washington College is in search of a dedicated individual to fill the role of Center Coordinator for the Center for Environment & Society (CES). This position is essential in supporting the Director and senior staff of CES, ensuring the smooth operation of various organizational activities, and providing vital administrative assistance. The Center Coordinator will play a key role in facilitating intra-office functions, managing events, and acting as a liaison with other departments within the College.
Key Responsibilities:
Organizational Coordination
- Assist the Director of CES with administrative tasks, focusing on scheduling and organizing meetings for the CES Advisory Board.
- Serve as the primary liaison to the CES Advisory Board, coordinating communication and activities.
- Ensure compliance with college policies among CES staff and represent CES in various capacities.
- Oversee the maintenance and security of Semans Griswold Hall, addressing any issues with the appropriate college offices.
- Facilitate team-building activities for CES staff in collaboration with leadership.
- Coordinate internal and external meetings, documenting and archiving minutes.
- Manage the Center's calendar and oversee the use of research equipment and facilities.
- Collaborate with senior staff on budget planning and expense management.
- Assist in the production of reports and support special projects and events.
- Work with Communications staff to maintain and distribute media content, including website updates.
- Handle inquiries via phone and email, ensuring timely communication with staff.
- Manage incoming and outgoing mail, as well as room scheduling within SG-Hall.
- Assist senior management with travel arrangements and expenses.
- Maintain office supplies and act as a liaison for technological needs.
- Support the recruitment process by posting job openings and assisting with onboarding new staff.
- Promote internship opportunities and coordinate with the Career Services office.
- Organize recruitment events and lead tours for prospective students.
- Assist in reviewing applications and implementing programs.
- Prioritize assignments based on deadlines and expectations from senior management.
- Supervise student workers and other staff as necessary.
- Authorize expenditures in line with approved budgets.
Education and Experience
- A Bachelor’s degree is preferred, along with a minimum of five years of administrative or logistical experience.
- Proficient in administrative procedures with strong written and verbal communication skills.
- Exceptional organizational abilities and the capacity to work independently.
- Ability to engage effectively with diverse individuals and communities.
- Competence in managing time and resources efficiently.
- Familiarity with Microsoft Office applications and administrative software.
- Demonstrated leadership and organizational skills.
- Maintain a positive attitude and high energy level.
- Flexibility to work occasional evenings or weekends as needed.
- Standard hours are Monday to Friday, with potential for extended hours during special events.
