Key Role in Residential Project Management at Aaron and Co

We are seeking a highly skilled and organized Executive Assistant to provide critical administrative support to our Owner and team. This pivotal role is essential in ensuring the successful execution of our residential projects, maintaining schedules, and facilitating smooth meetings and data organization.

Compensation:

$22 - $27 per hour

Responsibilities:
  • General Support and Coordination
  • Manage appointments, interact with clients, and handle basic financial transactions.
  • Generate financial documents, reports, and memos. Conduct research and gather data for documentation.
  • Execute special projects such as presentations, spreadsheets, reports, and agendas. Aid in project coordination and monitor progress.
  • Manage office tasks like supply procurement, file system maintenance, and CRM upkeep.
  • Collect and organize paperwork from subcontractors and vendors. Assist clients with selections and compile project documentation.
  • Safeguard confidential data. Prepare meeting materials and maintain office presentations.
  • Offer administrative assistance across departments and tackle assigned duties, occasionally requiring travel to clients' residences for administrative purposes.
  • Support to Owner
  • Translate discussions into professional documents. Organize daily tasks, schedules, and task prioritization.
  • Assess matter urgency for the owner and handle or delegate appropriately.
  • Maintain the company calendar, including project timelines, client meetings, and deadlines. Advise on time-sensitive and critical matters.
  • Run personal errands for the owner as required. Undertake additional responsibilities as delegated periodically.
Requirements:
  • Associate's degree with a minimum of 4 years' experience as an executive assistant or in a similar capacity.
  • Strong written and verbal communication, organizational, and time management proficiencies.
  • Self-driven with the capability to work autonomously and handle confidential data securely.
  • Proficient in Microsoft Office Suite. Familiarity with office management, clerical practices, and recordkeeping systems.
  • Successful background check, possession of a valid driver's license, and access to a insured vehicle.
