POSITION TITLE: Financial Operations Analyst

REPORTS TO: School Business Administrator or Designee

JOB GOAL: The role demands outstanding analytical abilities, interpersonal skills, and a comprehensive understanding of community relations, district functions, policies, and procedures.

QUALIFICATIONS: A Bachelor's degree in business administration or a related field, or a minimum of 3 years of experience in a school finance or business office environment.
Position Purpose
Under the guidance of the School Business Administrator or their designee, the Financial Operations Analyst will support the business office in procuring products and services, managing accounts payable, and preparing, maintaining, and reporting relevant information for the district.

This position is essential in delivering business services efficiently and effectively, thereby supporting the district's educational mission.
ESSENTIAL FUNCTIONS:

The Financial Operations Analyst shall:
  • Assist in maintaining and monitoring district financial records related to HR/Pension, Benefits, and Payroll.
  • Support the procurement of State and Federal grants (ESEA, IDEA, NJSIG, etc).
  • Process necessary documentation to secure federal and state reimbursements.
  • Contribute to the development and implementation of a centralized data management system, including all required procedures, forms, and files.
  • Manage, coordinate, and integrate procurement activities.
  • Ensure timely provision of contract documentation, maintaining accuracy and consistency with accepted accounting principles and public contracting laws.
  • Prepare and interpret procurement requests and current statements of budget allocations and disbursements.
  • Conduct audit and accounting tasks involved in recording expenses.
  • Compile and prepare various internal financial reports or statistical compilations for district management purposes.
  • Conduct investigations, examinations, and inquiries into accounts, records, and reports.
  • Apply and adhere to relevant laws and regulations regarding accounting and contracting in school districts.
  • Utilize computers and electronic equipment to fulfill job responsibilities.
  • Exhibit the highest ethical and professional conduct when interacting with students, parents, school personnel, and external agencies.
  • Maintain confidentiality of records and information regarding staff, exercising discretion when sharing information within legal boundaries.
  • Comply with federal statutes, state laws, and Board of Education policies and procedures.
  • Perform any duties assigned by a supervisor that fall within the scope of employment and are not prohibited by law or regulation.
Additional Duties
Perform other related tasks as assigned to ensure the efficient operation of the School Business Administrator's office and the school district.

Limited travel for meetings may be necessary.

  • Strong organizational, scheduling, and time management skills.
  • Knowledge of office management practices.
  • Understanding of state and federal laws relating to public education and information access.
Physical and Mental Demands, Work Hazards
  • Works in standard office and school environments.
  • Ability to work outdoors during student activities as needed.
TERMS OF EMPLOYMENT: Contractual employee. Salary will be determined by contract based on years of experience.

EVALUATION: Job performance will be evaluated in accordance with Board policy on the evaluation of non-certified personnel.
