Position Summary
We are seeking a proficient Facilities Maintenance Coordinator with a background in managing facility upkeep, including commercial renovations, retail spaces, and office modifications. The ideal candidate will have a solid history of overseeing maintenance initiatives and ensuring their successful execution.
In this role, you will be tasked with coordinating repair and maintenance efforts, managing service requests, and ensuring adherence to safety and quality protocols.
Key Responsibilities
- Facilitate effective communication with contractors and suppliers to monitor project advancement
- Oversee handyman services and conduct daily status checks
- Manage scheduling and maintain an organized calendar of activities
- Engage in daily communication via phone or email with clients and vendors
- Provide weekly updates on project status to clients, detailing milestones, current progress, and any significant changes
- Assist in the preparation of daily, weekly, and monthly reports to aid in decision-making
- Maintain a systematic electronic filing system for efficient document access
- Administer vendor lists and ensure compliance with vendor requirements
- Develop and refine essential office procedures to enhance operational efficiency
- Monitor budgets and expenses, manage material procurement, and evaluate project specifications
- Handle documentation related to submittals, invoicing, and supplier account setups
- Manage a high volume of communications, including outreach and follow-ups to meet project needs
- Support the Maintenance Director and team in generating service requests using internal software, while regularly tracking the status of these requests and assisting in their resolution.
Qualifications
- Demonstrated experience in facilities maintenance administration across various trades, including carpentry, flooring, drywall, painting, plumbing, electrical, HVAC, and concrete work
- Prior experience in an administrative or coordinator role within the maintenance sector
- Proficient in using standard office equipment such as printers and fax machines
- Advanced computer skills, particularly in Microsoft Word, Outlook, PowerPoint, Adobe Editor, and MS Project
- Strong organizational skills with excellent time management capabilities to prioritize multiple tasks effectively.
